We are currently looking for a Program & Training Center Administrator to join us in our mission to save lives and prevent injuries.

Position Highlights:

The Program & Training Center Administrator coordinates and supports the administration, compliance, quality, and continuous improvement of assigned training and certification programs. Serving as a primary point of contact for customers, instructors, training centers, regulatory agencies, and internal stakeholders, this role provides program expertise, customer support, operational coordination, compliance monitoring, reporting, and administrative support. The Program Administrator collaborates across departments to support efficient program delivery, stakeholder satisfaction, regulatory compliance, and organizational objectives. This role is open to internal applicants only at this time.

What You’ll Own:

Customer Service & Stakeholder Support (15%)
  • Serve as a primary point of contact for customers, students, instructors, training centers, regulatory agencies, and internal stakeholders regarding program requirements, policies, procedures, and services.
  • Provide advanced support for escalated inquiries and complex program-related issues.
  • Serve as a subject matter resource for assigned programs, systems, processes, and regulatory requirements.
  • Support stakeholder engagement, business development, account management, and customer retention initiatives.
  • Review and recommend enhancements to customer-facing communications, resources, and processes to improve the stakeholder experience.
  • Provide administrative and operational support to management and departmental staff.
Program Administration & Operations (50%)
  • Coordinate day-to-day administration of assigned programs to support operational effectiveness, service quality, compliance, and data integrity.
  • Coordinate instructor and training center onboarding, credential management, renewals, compliance tracking, record maintenance, and ongoing support.
  • Review applications, agreements, renewals, and supporting documentation for completeness and qualification.
  • Maintain program records, databases, business systems, schedules, and reporting tools.
  • Coordinate regulatory submissions, program communications, training logistics, vendor relationships, and stakeholder activities.
  • Collect, maintain, and monitor program data, feedback, evaluations, and performance metrics to support operational effectiveness and continuous improvement.
  • Participate in quality assurance activities, special projects, system enhancements, and implementation of new initiatives.
Compliance & Contract Administration (10%)
  • Maintain knowledge of applicable regulations, policies, contractual requirements, and industry standards.
  • Monitor compliance activities and maintain accurate, audit-ready documentation and records.
  • Prepare and coordinate regulatory reports, notifications, renewals, and required program documentation.
  • Serve as a liaison with regulatory agencies and stakeholders regarding compliance-related matters and program requirements.
  • Support contract administration, renewals, and related communications.
Process Improvement, Training & Knowledge Management (10%)
  • Develop and maintain standard operating procedures, workflows, training materials, job aids, and operational documentation.
  • Provide onboarding, training, cross-training, and knowledge-transfer support for employees and stakeholders.
  • Assist in identifying and implementing process improvements that enhance efficiency, consistency, compliance, customer satisfaction, and business performance.
  • Promote standardization, best practices, and knowledge sharing across programs and teams.
Reporting & Business Support (15%)
  • Prepare and analyze operational, financial, compliance, and program performance reports.
  • Monitor revenue, invoicing, budgeting, forecasting, and performance metrics; research variances and support reconciliation and corrective action efforts.
  • Support audits, contract renewals, RFP responses, strategic initiatives, and special projects through reporting, analysis, documentation, and stakeholder coordination.
  • Prepare correspondence, presentations, reports, and other business documentation as needed.
  • Perform other duties as assigned.
We’re Looking for Someone with: 
  • Bachelor's degree preferred. Equivalent combination of education and experience may be considered.
  • 3-5 years of experience in program administration, operations, customer service, compliance, training administration, workforce development, healthcare education, or a related field.
  • Experience supporting regulated, certification, licensing, or training programs preferred.
  • Experience with reporting, data analysis, and stakeholder coordination preferred.
  • Strong customer service, communication, and relationship management skills.
  • Knowledge of program administration, compliance requirements, and operational processes.
  • Ability to interpret regulations, policies, contracts, and procedural requirements.
  • Strong analytical, organizational, problem-solving, and time-management skills.
  • Proficiency with Microsoft Office applications, databases, reporting tools, and business systems.
  • Ability to manage multiple priorities, maintain attention to detail, and work effectively both independently and collaboratively.
  • This is a remote position.
  • Hourly rate $28.85
